General Interlibrary Questions

What is Interlibrary Loan?

Interlibrary loan ( ILL ) provides access to library material throughout the world by locating and borrowing materials not owned by the law library or at Hesburgh Library.

Who is eligible to use Interlibrary Loan?

ILL is available to the law faculty, law students, law school and library staff ,visiting faculty and visiting scholars who have an active circulation account with the law library. The service is not available to non-law faculty and students. These patrons must use the Interlibrary Services available at the Hesburgh Library. Local members of the bar and other public patrons are also not eligible to use the service. These patrons should check with their law firm librarians or checking with their local public library to see if the service is offered.

What materials can be obtained through Interlibrary loan?

ILL provides access to most books, journal articles, photocopies of cases, newspaper articles, microfilms, proceedings and other research materials not in the law library or at Hesburgh Library. ILL does not provide access to required course materials. Please note that the following types of materials are not loaned by libraries: entire issues or volumes of journals, original newspapers, reference books, (including case reporters, codes, etc.) looseleaf materials and rare books. If you have a specific citation to something in these materials it is possible that a photocopy can be obtained. Copies from newspaper articles can be obtained if the microfilm for the newspaper is available. Complete citations (Title, reporter, date and page number(s) are required–newspaper articles must be verified in Lexis or in WestLaw.

How do I submit an Interlibrary Loan request?

Before you complete an ILL request form, check the law library’s online catalog and the Hesburgh Library’s online catalog.
If the material is not available on campus, complete an ILL request form for each item you need.
You can access the forms from the law library’s web page.
Please note, if you are searching in Hesburgh Library’s catalog do not use their Interlibrary loan forms you must return to the law library’s web page and fill our one of our ILL request forms.

What if I am an RA?

Cite checking can be a tedious task. Where do I start? What do I check? The tips in the Cite Checker Resources will provide links to sources you should check before you submit an interlibrary loan.

What if I am on a journal?

Check with your editor to find out the preferred method of submitting an ILL request.

How long does it take to fill an Interlibrary loan request?

On the average it takes approximately a week to 10 days to fill an ILL request, though it can take as little as a day or as long as a month or more to receive materials, depending on the location and the availability of the item at other libraries. For books, whenever possible, we will try to locate the item at a local library for faster turnaround time. For journal articles, whenever possible, we will have the article transmitted electronically to eliminate the delay of mail service.

You are strongly encouraged to submit requests well in advance of deadlines. However, if you are on a journal please do not request a book that you know you will not be using for a cite check until later in the semester. Loans are usually for 2-3 weeks. Renewals are at the discretion of the lending library and most lending libraries will only grant one renewal.

How can I check on the status of an Interlibrary Loan Request?

You can check the status of our request through ILLiad from any computer with Internet access by signing on to ILLiad through your account. To track your requests that have not yet been filled, click on “Outstanding Requests”’ for a list of ILL materials that you have checked out, click on “Checked Out Items”’ and to view a list of your completed ILL requests, click on the “History Requests.”

How will Interlibrary Loan notify me when the materials arrive?

You will receive an e-mail message notifying you when materials arrive.

Where do I pickup my materials?

Journals: Books will be delivered to your journal office.
Students: Books may be picked up at the Library’s Circulation Desk. Photocopies will be either held at the Circulation Desk or delivered to you electronically.
(You choose the method of delivery when you complete your ILLiad registration.)
Faculty: Books will be delivered to your office or your slot in the mailroom.
Photocopies will be delivered electronically or routed to your mailroom slot.
Staff: Books will be held at the circulation desk.
Photocopies will be sent to you electronically.

How long can I keep books borrowed through Interlibrary Loan?

There is no standard due date for ILL items as the library that lends the materials specifies the date. On the average, the items may be kept for three weeks. The due date is printed on the band on the book. Patrons are responsible for the safe and timely return of items borrowed through ILL. Failure to return items in a prompt manner may result in the loss of our borrowing privileges from the lending library in the future.

What if I lose or damage books obtained through Interlibrary Loan?

Libraries loan to us as a courtesy and expect that their books will be returned on time and in good condition. If a book is lost contact Carmela Kinslow.

Can I renew ILL materials?

You may request a renewal of an ILL item through the ILLiad service within five days of the date due. You can check on the renewal status.
Please note that the lending library is responsible for the decision as to whether an item can be renewed and for how long. Renewals are generally not granted for overdue materials.

ILLiad Questions

What is Illiad?

Illiad is the electronic system you use to request an item through Interlibrary Loan. The name ILLiad can be thought of as an acronym for Interlibrary Loan internet accessible database.

How is ILLiad better than traditional ILL systems?

It is easier to submit your ILL requests. You will enter your name, address, and other personal information into the system only once, at the time of your first request.

Your request will be handled more rapidly and accurately as problems relating to misinterpretation of handwritten requests are eliminated.

You can get many of your photocopies more quickly through electronic delivery.

You can get information about status of your request through the Web at any time from any location without having to contact the ILL staff.

Library personnel are able to serve you better because all data about your request and its handling is stored in a searchable database. We are able to respond quickly to your inquires about your request. We are also able to gather statistical information about the performance of the libraries that lend to us, enabling us to make better decisions when choosing a lender to supply an item.

Are there disadvantages to the electronic system?

Some people might find it troublesome to have to log into ILLiad. Your net id and password is required to log into ILLiad. However, we believe this is less trouble than traditional paper and electronic systems which require you to enter your personal information with each new request. Once you have completed the registration form you no longer have to fill in this information.

Why do I need a username and password to use ILLiad?

Your user name and password allows us to give you secure access to information about your ILL requests. We can also enable you to edit your personal information such as your address or phone number.

What Web browser should I use?

You need a Web browser that can handle forms, tables, and preferable Cascading Style Sheets (CSS) We recommend the current versions of either Microsoft Internet Explorer or Mozilla Firefox.

Why don’t I see all my older requests when I look at my request library?

From time to time we purge older records. Our policy is to keep requests online for several years to comply with record keeping requirements of the copyright law.

What is electronic delivery?

Many libraries ship photocopies of articles to us in electronic format. In the past we printed these articles before delivering them to you. Now, through interlibrary loan, we are able to offer you the option of electronic delivery of these articles in PDF format (Adobe’s Portable Document Format).
